Kladana, cloud-based ERP, has released an enhanced Purchasing Module, designed to simplify and optimize supply planning for small and medium-sized enterprises (SMEs). The new module enables businesses to manage purchasing comprehensively, including planning timely supplies, analyzing sales and demand, and using automation and customization tools. With features made to prevent stock shortages, eliminate excess inventory, and optimize stock movements, the module helps SMEs reduce costs and improve operational efficiency.
Why the Purchasing Module Matters for SMEs
Kladana Purchasing Module supports various purchasing scenarios:
1. Purchases based on sales or production orders
2. Purchases when stock levels reach the minimum threshold
3. Regular purchases with a certain frequency, e.g. replenishing a specific product range, scheduling orders on Mondays, or placing orders on the 15th of each month according to supplier contract terms
Once a specific purchasing flow is determined, entrepreneurs can manage purchase orders effectively and leverage other Kladana modules for seamless business operations, such as inventory, warehousing, sales, and production. Kladana provides all the essentials:
- Sales analytics: Understanding daily, weekly, or monthly sales volumes to make informed purchasing decisions
- Demand forecast: Considering average sales and best-selling items to anticipate needs
- Current stock levels: Knowing how much stock is on hand, committed, and in transit
- Supplier workflow: Managing delivery lead times, payment conditions, and minimum purchase order quantities
Six Powerful Features to Optimize Purchasing Operations
Kladana Purchasing Module is designed for e-commerce traders, wholesalers, and manufacturers. The module allows running purchase within a single app: a manager can track statuses of all orders like new, approved, received, or canceled, monitor expected delivery dates, process receivings, and handle supplier invoices, overdue payments, and purchase returns. Key features include:
1. New Purchasing Management Report: Previously, Kladana ERP users could plan purchase orders based on sales tracking, including the number of sold products over a certain period, the total sales amount, current stock levels, and the number of products needed for purchasing.
Now, this report also helps enhance purchasing for production, allowing planning purchases based on the consumption of raw materials. Multiple filters enable analysis of the consumption of specific materials, days of stockpile, and how many items should be ordered based on the demand forecast.
2. Reorder Point: Notifies the manager when items are running low, prompting an order from the supplier or internal warehouse.
3. Stock Report: Provides inventory analytics and enables automatic creation of purchase orders based on reorder point data. Using the Replenish Stock button from the report, the system automatically creates an internal order to replenish stock with the required number of products.
4. Preferred Supplier Profiles: Maintaining complete supplier profiles allows businesses to track discounts, delivery reliability, and contact details easily.
5. Task & Document Integration: To have smooth workflow management, link purchase orders to appropriate tasks and documents such as supplier invoices and payment requests.
6. Automation of Access & Approval: Simplify approval procedures by flexible automation of flows of user access rights and authorization.
Talking about this innovative addition, The Director of Kladana in India, Ms. Aleksandra Brovchuk said, “MSMEs play a crucial role in production across sectors, especially in trade and manufacturing. For most MSMEs, every decision counts. To facilitate informed decision-making with better control, Kladana has launched the Purchasing Module that equips entrepreneurs with the tools for making wiser purchasing choices, automating business workflows, and anticipating demand. With the enhanced Purchasing Module, we will assist manufacturers in planning purchases based on raw material consumption, enabling timely and uninterrupted production orders.”
